Sales & CRM AI ROI Calculator
The strongest argument for sales automation is not a vendor claim, it is your reps' calendars: most of the week goes to admin, not selling. The calculator below prices that admin time. Set it to your team.
The preset opens with a 10-rep team at a 3,600 dollar average monthly cost, each losing 14 hours a week to CRM admin, manual research and follow-up writing, against a 10,000 dollar representative build. Unlike support tickets, sales admin hides in small daily fragments, so the hours slider matters most here.

What AI actually automates in sales and CRM
The pattern that works is AI as the rep's back office, not AI talking to your prospects unsupervised:
- 01 Lead enrichment: company size, stack, news and role, filled into the CRM before the first call instead of 20 minutes of tab-hopping per lead.
- 02 Lead scoring and routing, so the hottest inbound lands with the right rep in minutes.
- 03 CRM hygiene: call notes, stage updates and next steps written into the record automatically after each touchpoint.
- 04 Personalized first-touch and follow-up drafts, queued for the rep to approve rather than sent blind.
- 05 Pipeline summaries and forecast prep that currently eat Monday mornings.
Realistic ranges to expect
For a sales team the SaaS default assumes 75 percent of the admin hours you enter are automatable. The published research below suggests reps lose well over half their week to non-selling work, so even the conservative case usually frees several hours per rep per week. The financial value in the calculator counts salary cost only; if you know your revenue per selling hour, the real upside is higher because recovered hours convert to pipeline.
What the research says
Three dated, sourced numbers on where sales time actually goes and what automation returns:
Salesforce's State of Sales research, surveying 7,775 sales professionals in late 2022, found reps spend just 28 percent of their week actually selling, with the rest consumed by deal management, data entry and other admin. Salesforce State of Sales, December 2022 ↗
HubSpot's State of AI research across 600 plus sales professionals found salespeople using AI save about 2 hours and 15 minutes per day on manual tasks, and 79 percent say it lets them spend more time selling. HubSpot State of AI research, 2024 ↗
A Deloitte study of more than 1,100 senior leaders, commissioned by Docusign and published in April 2026, found sales teams using AI-powered agreement workflows report 43 percent time savings and 29 percent fewer contracting-related deal delays. Deloitte study for Docusign, 16 April 2026 ↗
How to read your result
Sales automation ROI is the easiest to overstate because recovered time only becomes money if reps use it to sell. Our advice: value the saved hours at salary cost, as this calculator does, treat any pipeline uplift as upside and never let AI send customer-facing messages without a human approving the first hundred. The teams that win here automate the CRM record, not the relationship.
Sales and CRM ROI questions
01 Which CRMs do you integrate with?
HubSpot, Pipedrive, Salesforce and anything with an API, including self-hosted CRMs. The automation writes to your existing fields and pipelines; no migration is involved.
02 Will AI write to my prospects directly?
Only if you choose that, and we advise starting with drafts a rep approves. Enrichment, scoring and CRM updates carry most of the ROI with none of the brand risk.
03 What does a sales automation build cost?
CRM and sales automation engagements start around 2,000 dollars; the preset assumes 10,000 for a fuller build with enrichment, scoring and drafting. A fixed quote follows a free 30-minute scoping call.
04 How is success measured?
Before launch we baseline three numbers from your CRM: time from lead to first touch, share of records with complete data and follow-ups sent per rep per week. The automation must move those, or we tell you it did not.
